We strongly recommend you acquaint yourself with all relevant travel information and the nature of your itinerary prior to booking to ensure that you understand the itinerary, style and physical demands of the trip you are undertaking.
How to make your reservation To confirm your booking, please provide the following details:

Passport number
Passport issue and expiry date
Any pre-existing medical conditions
Once your booking is accepted, we will issue an invoice with the balance of the final booking cost. Payment is due 45 days before the departure date, with a non-refundable deposit required within 7 days of reservation. Pepe Concierge Service accepts bank transfer, Visa, Mastercard, American Express, Diner's Club, JCB, Discover and PayPal. Some arrangements and special tours may not be paid by credit card in which case we will notify you. Please make your reservations as early as possible since many flights are completely filled 3 to 6 months before departure.
Deposit Requirement A non-refundable deposit per person per trip is required within 7 days from the date of reservation. Amounts to be paid are: USD $250 pp

Final Payment Final payment is due 45 days prior to departure. If tour departs in less than 45 days, payment in full is required at time of booking. For payments not received on time, we reserve the right to cancel the reservation and invoke the cancellation fee.
Cancellations, Changes and Refunds All cancellations or changes must be received in written form. The effective date of cancellation will be upon our receipt of your written notification. If cancellation is received in writing by Pepe Concierge Service no less than 60 days prior to departure, your payment will be refunded, less 20% (minimum USD 250) per person of the full package price, as well as any non-refundable items such as airfare, bus tickets. For requests made 60 days or less, the following fees apply:
59 to 45 days before departure - 35% of total package price
44 to 31 days before departure - 50% of total package price
Within 30 days of departure - no refund, loss of deposit and airfare payment if applicable
Additional charges may apply for changes in air travel bookings after tickets have been issued in accordance with the airline's change/cancellation policies and depending on the booking class of the ticket. Certain items are non-refundable and therefore, excluded from the refund policy as only airlines are responsible for the timing of refunds of air tickets.
Prices, Surcharges and Minimum Numbers Our trip prices are subject to variable and seasonal pricing and may vary at any time in accordance with demand, market conditions and availability. Until full payment is received, all tours, including its price, components, departure date, or any other aspect of the tour are subject to change at our discretion without notice. Since our tours are based on a minimum number of participants, if this number is not reached, we reserve the right to cancel or re-cost the tour as appropriate. If we re-cost and you decide not to proceed, or if we cancel the tour, your deposit is refundable in full.
Travel Insurance It is mandatory for travellers to purchase travel insurance before joining a tour with us. At a minimum, your travel insurance must provide coverage against personal accident, death, medical expenses, emergency repatriation and personal liability, with a minimum coverage of USD $200,000 (or equivalent in other currency). We also strongly recommend that the policy also covers cancellation, curtailment and loss of luggage and personal effects. Travellers should purchase their chosen policies as soon as their trip has been paid for so they can enjoy cancellation coverage from up to six months before the trip. Your tour leader/representative will ask you for proof of coverage on Day 1. Failure to do so will mean exclusion from the trip. Please ensure you have your policy number and emergency telephone number for your insurance company. If this is unavailable, make sure you have the necessary information required by your insurance company in case of an emergency.
Travel Documents and Taxes It is your responsibility to ensure that all passports, visas, travel permits, health certificates and other documentation required for the tour are obtained and are in order. Visa requirements and/or reciprocity fees change frequently and are dependent upon your nationality and your destination. Please visit the relevant consular website of the countries you'll be visiting for more detailed and up-to-date visa information. Please obtain all necessary travel documents in advance. You must also pay all required taxes payable in relation to the tour. We are not responsible if you are refused entry to a country because you lack the correct passport, visa or other travel documentation.
Responsablity Pepe Concierge Service serves only as agents for suppliers such as airlines, coach operators, hoteliers and other service providers who provide services in relation to your tour and therefore will not accept responsibility for wrongful, negligent, or arbitrary acts or omissions of these independent contractors, their employees, agents, servants or representatives. Pepe Concierge Service is not liable for injury, damage, loss, accident, or delay that may be caused by events not within our control, including without limitation, acts of terrorism, war, strikes, the defect of any vehicle, or the negligence or default of any third party. Some of these events may permit the service provider to cancel, delay, divert or substitute services at their discretion, and may limit or exclude liability in respect of death, personal injury, delay and loss or damage to baggage. It is your responsibility to be aware of and comply with the terms and conditions of each service provider. We will make every effort to operate our tours as planned, but we reserve the right to make changes as necessary.
